PROPOSED
COMMITTEE
|
|
The committee shall consist
of the President, Secretary, Social Officer and three other Committee Officers. The President shall also occupy the position of Finance Officer and that
of the Editor of the Maltese Wellingtonian newsletter whilst the Secretary shall perform the duties as Public Relations Officer. The Committee shall meet at least six monthly on a day to be agreed upon by the majority
of the members of the Committee present. Four members shall form a quorum. Notice of every meeting
of the Committee shall be given by the Secretary to every member thereof and
shall be sent by post to the registered address of such at least seven days prior to the date
of the meeting.
No person shall be nominated or shall be a member of the
Committee unless they are a member of the Association and have been a member for at least two years immediately preceding the date of closing of nominations except in the case
of the official, inaugural Committee of the Association.
At all meetings of the Committee the President shall preside. If the President is absent the Committee shall elect one of their number to preside. The Chairman shall have a casting vote in addition to his/her own vote whenever there is equality in votes.
Any vacancy occurring in the Committee shall be filled at a special meeting
of the Committee called for the purpose.

POWERS OF THE COMMITTEE
|
|
The Committee is responsible for the, management
of the affairs of the Association and to see that all rules and regulations are adhered to.
The Committee shall have power to make by-laws and
regulations, provided they do not conflict with Association rules, and to alter, amend or rescind any by-laws or regulations so made.
The Committee shall decide upon the interpretation of the rules appertaining to any matter under dispute, and decide any question not provided for by these rules and any decision thereon shall be binding and conclusive on the Association.
The President
and Secretary shall receive all moneys and subscriptions and authorise expenditure and will furnish a report and financial statement to the Annual General Meeting. They shall see
that are incurred in excess of the Association's assets.
The Committee shall have the power to form Sub-Committees to deal with specific requirements of the objectives of the Association.

ELECTION OF COMMITTEE
|
|
The President, Secretary, Social Officer and Committee Officers shall be elected by a simple majority vote by the general body of Members present at the Annual General Meeting.
Such elections will appear as an Agenda Item to the Annual General Meeting every five years.
Nominations shall close at the Registered Office of the Association one week before the
specified date of the Annual General Meeting, Such nominations are to be on a form prescribed by the Committee and shall be signed by a proposer and seconder, both of who shall be members of the Association and shall also be signed by the candidate as.
an indication of acceptance to nominate for office.
If no nominations are received for any office or an
insufficient number of nominations are received for the ordinary membership of the Committee, the Chairman at a Special General Meeting called for the purpose shall call for further nominations to fill the vacancies.
No Member may be nominated for election to any such vacancy unless he is an Ordinary Member and has been a Member for at least 2 years, (except in the case of the inaugural committee) is present at the meeting and accepts the nomination.
If there are more nominations at the meeting than vacancies to be filled, election shall be by ballot.

POWERS AND DUTIES OF OFFICERS
|
|
The
elected President shall preside at all Committee and General meetings and shall maintain order thereat, so that the business of the meeting can be conducted in an orderly manner.
The president shall represent and speak in the name of the Association and the Friends of Malta Society wherever it is considered to benefit or be advantageous to both Organisations.
May appoint a member of the Committee to represent the Association on behalf of the President.
The President shall report to the committee of any action, decision or undertaking resolved by this office on behalf of the Association, when being unable to consult or refer to the Committee,
The President shall perform Finance Officer duties, which include keeping account of all income and expenditure incurred by the Association, hold all receipts and keep the Associations bankbook.
Be the Editor of the Maltese Wellingtonian, the official newsletter of the Association.
The Secretary shall supervise and control the routine office work of the Association, attend to all correspondence, keep the records and files thereof, keep proper and accurate minutes of all meetings of the Association and Committee. Perform the duties as Public Relations Officer, which include fostering co-operation and good will between this Association and any other Association, institution or body having objectives similar wholly or in part to the objectives of the Association.
Arrange and co-ordinate those activities required to ensure the proper treatment and protocol towards any visiting Maltese Dignitaries in which the Association has been invited to participate.
Liase with members of the media locally, and internationally to promote the activities of the Association to the wider community.
The Social Officer shall be responsible for arranging and organising the social activities of the Association.
These duties include all negotiations necessary to secure suitable venues, catering and entertainment arrangements agreed upon at meetings of the Committee of the Association.
The three
Committee Officers will assist with the management of the affairs of the Association as required.

PROPERTY OF THE ASSOCIATION
|
|
No member shall take from the Association
or injure or destroy anything whatsoever of the property of the Association and any article taken or
removed or damaged shall be replaced or the damage made
good forthwith.
As to whether any property is to be repaired or replaced shall be decided by the Committee, whose decision shall be final and the members causing such loss or damage shall forthwith pay to the- Association the. amount
that the Committee may determine.
